With over 21,000 members across its global community, CIBSE is a professional body that exists to promote the Art, Science and Practice of building services engineering by providing first-class information and education services and promoting the spirit of fellowship which guides its work. It promotes the profession of building services engineering by accrediting courses of study in further and higher education and is the standard setter and authority on building services engineering.

CIBSE provides the voice for the profession, is consulted by government about construction, engineering and sustainability and is represented on major bodies and organisations which govern construction and engineering occupations in the UK, Europe and worldwide.

Purpose of the role

CIBSE is recruiting for a dynamic, energetic administrator to support the Central Team in a broad role that covers everything from working with our Board of Trustees to supporting our events team on some of our more complex events.

This is an exciting time to join CIBSE, which plays a critical role in a growing and changing built environment sector.  CIBSE is a charity that continues to expand and diversify to support our drive to improve performance and safety, health, sustainability and enable achieving net zero carbon in the built environment.

Reporting to the Executive Assistant and supporting the Head of Governance, the successful candidate will play a central role in the smooth operation of the Institution, providing support across essential central functions of the Institution.  This role will engage with senior Officers and Directors of the Institution and the wider staff and be involved in a varied and exciting range of activities. 

Responsibilities:

We are looking for a proactive, organised, and energetic individual who thrives in a busy environment.  To say the role is varied is an understatement!

  • Provide committee support for the governing Board, its sub-committees and panels, General Meetings, CIBSE Services Board, CIBSE consultative Council and internal Directors’ meetings. Including coordination and distribution of agendas and papers and preparation of minutes of meetings.
  • To take a variety of meeting minutes.
  • Administration of a wide range of central functions, including the Nominations process and Institution awards.
  • Staying one step ahead of the schedule so that papers and documents are always ready.
  • Be positive and friendly but not afraid to challenge when necessary.

Person specification:

The ideal candidate will be someone who relishes challenges, always goes the extra mile to find a solution and maintains a strong focus on priorities.

On the one hand, you are someone who scorns second best, and accuracy is your middle name.  But on the other, you are a warm and supportive personality who works well with others and quickly creates strong working relationships.

  • The role requires a highly self-motivated, dedicated and practical person who possesses a broad range of communication and organisational skills
  • Experience in committee administration and minute-taking
  • Good digital skills are required, including MS Office, MS Teams, and Salesforce (training will be provided on Salesforce)
  • Use initiative to suggest process improvements and changes
  • Exceptional written and spoken communication skills
  • Confident self-starter, able to work proactively and multi-task in a dynamic environment
  • Strong organisational skills and follow-through
  • Sensitive and diplomatic with a high level of confidential information
  • Confidence in prioritisation of tasks
  • Excellent time management and attention to detail
